Information we collect

We collect the following categories of personal data:

Membership and account data

When you register as a Member or create an account we collect your name, email address, telephone number, company name, job title, company country and industry sector, login details (username and password), and any other information you choose to provide during registration or in your profile.

Website and technical data

When you visit our Sites we automatically collect information about your device and how you use the Sites (for example IP address, browser type, pages viewed and time spent on pages). This is collected through cookies and similar technologies. Please see our separate Cookie Policy for full details.

Other information you provide

We may also collect information you voluntarily give us, for example when you complete a survey, contact us with an enquiry, register for an event, or enter a competition.

We retain data on open rates and other interaction metrics from our websites and email communications for internal analysis and to improve our services. We may share anonymised and aggregated interaction data with advertisers and partners.

Information we obtain from third parties and public sources

We obtain business contact details of financial advisers from a third-party data provider, Autus Data Services.

  • Names and company details are taken from the publicly available Financial Conduct Authority (FCA) Register.
  • Email addresses are obtained from publicly available websites or are inferred from the common email format used by the relevant company.

We use this information to send relevant industry news, magazine content and information about IFA Magazine membership and related offers.

We only process this data where we have a lawful basis (see below) and we provide an easy way for you to object at any time.

Lawful bases for processing

We only process personal data when we have a lawful basis under the UK GDPR. The bases we rely on are:

  • Contract – where we need to process your data to provide membership services or other services you have requested.
  • Consent – where you have given clear consent for us to process your data for a specific purpose (for example certain types of marketing). You can withdraw consent at any time.
  • Legitimate interests – where processing is necessary for our legitimate interests and those interests are not overridden by your rights. This includes:
  • sending relevant B2B marketing and industry information to professional contacts whose details we have obtained from Autus Data Services, the FCA Register and public websites;
  • operating, improving and securing our Sites;
  • analysing how our content and services are used.

We have carried out a Legitimate Interests Assessment for these activities. You can ask us for more information about this assessment.

  • Legal obligation – where we need to process data to comply with the law.

How we use your personal information

We use personal data for the following purposes:

  • To provide and administer membership services and deliver the content and benefits you have signed up for.
  • To operate, maintain and improve our websites and services.
  • To send you relevant industry news, magazine content, membership information and related offers (including to contacts obtained from third-party and public sources).
  • To respond to your enquiries and provide customer support.
  • To carry out research and analysis so we can improve our content and services.
  • To personalise content and communications where appropriate.
  • To monitor compliance with our terms and conditions and to detect and prevent fraud or misuse.
  • To comply with our legal and regulatory obligations.
  • To administer online events and competitions in partnership with industry providers.

Who we share your personal information with

We may share personal data with:

  • Service providers who help us run our business (for example website hosting, email delivery and IT support). These providers only process data on our instructions and under a contract.
  • Professional advisers (lawyers, accountants, etc.) where necessary.
  • Regulators, law enforcement or other third parties where we are required to do so by law or to protect our rights.
  • Partners and sponsors of specific promotions, events or competitions, but only where you have opted in to that sharing.

We do not sell personal data.

If our business is sold or merged, personal data may be transferred to the new owner, subject to the same privacy protections.

How long we keep your personal information

We keep personal data only for as long as necessary for the purposes set out in this notice or to meet legal requirements.

  • Membership account data: retained for the duration of your membership and for 6 years afterwards for legal and accounting purposes.
  • B2B marketing list data: retained for as long as we have a legitimate interest in contacting the individual for relevant industry communications, or until the individual objects or unsubscribes. We maintain a suppression list of people who have asked not to be contacted.
  • Website logs and technical data: typically retained for 36 months and then deleted or anonymised.
  • Other data (enquiries, survey responses, etc.): retained only as long as needed for the relevant purpose, or for a maximum of three years.

We may retain the minimum amount of information necessary to ensure we do not contact you again if you have asked us not to. We do not place a fixed time limit on this suppression data.

It may be necessary to retain personal information for longer where there is a statutory requirement, a legal reason, or a legitimate business need to do so.

How we keep your personal information secure

We take appropriate technical and organisational measures to protect personal data against unauthorised or accidental access, loss, alteration or disclosure. These include password protection, encryption of data in transit, access controls and regular security reviews.

Transmission of information over the internet is never completely secure. Any transmission is at your own risk.

Cookies and similar technologies

Our Sites use cookies and similar technologies. For full details of the cookies we use, why we use them, and how you can manage your preferences, please see our Cookie Policy.

Marketing and how to opt out

We may send you emails about industry news, magazine content and membership offers.

  • If you are a Member who has consented to marketing, you can withdraw that consent at any time.
  • If we contacted you using data obtained from Autus Data Services, the FCA Register or public websites, we do so on the basis of legitimate interests. You have the absolute right to object.

Every marketing email we send contains a clear unsubscribe link. You can also email [email protected] and ask to be removed from future marketing. We will add you to our suppression list and will not contact you again for marketing purposes.
